Verified commercial lease register

Know every critical date.
Prove every number.

Provenance gives commercial owners a page-cited, amendment-aware record of lease terms and deadlines — beside Yardi, MRI, or spreadsheets.

Every lease fact, proven.

Built for privately held owners and operators with roughly 3–30 properties and 25–250 active leases, lean asset-management teams, and third-party property managers. No portfolio migration required.

Step one

One difficult fact, with the page it came from

Expiration dates, notice windows, escalations, option terms, and reimbursement caps each carry the document, the page, and the excerpt behind them. The answer can be shown, not just stated.

Review source Confirm change

The verified value stands until a person confirms the change. Nothing is overwritten silently.

Step two

An amendment changes the original term

When a later document contradicts a term already in the register, both readings sit side by side with their sources. Nothing is overwritten silently, and a person decides which one governs.

Step three

The deadline recalculates from what changed

Obligations are derived, not transcribed. Change a governing term and everything downstream is marked stale and recomputed, showing its inputs, the rule applied, and the pages behind each input.

The problem is not software. It is copied lease data nobody can verify, and obligations that stay stale after an amendment moves the term underneath them.

What goes wrong without a verified register

A term was copied, then never checked again

The escalation keyed in 2019 does not match the clause that governs it, and nothing links the number back to the page.

An amendment moved a date nobody recalculated

The lease was extended. The notice window that depends on it stayed where it was, in a spreadsheet nobody owns.

The proof is not where the number is

The figure sits in the property system; the document that supports it sits in a folder nobody has opened in three years.

Works beside the systems you already use

Provenance does not replace your property system, your accounting system, or your document storage. It holds the verified facts behind those numbers and keeps them tied to the documents they came from.

They run the building

Yardi, MRI, AppFolio, Buildium, DoorLoop, Cloud Rental Manager, Rent Manager, QuickBooks, Excel, SharePoint, Dropbox — billing, accounting, operations, and file storage stay exactly where they are.

If a platform collects the rent, schedules the work, or holds the files, Provenance sits beside it — we hold the verified terms those systems assume are already correct.

We hold the proven record

The register keeps each term, its citation, its verification, and its history — and exports to whatever system needs the number next.

Who is responsible for approving a fact

Nothing enters the register because a machine proposed it. Document processing reads the lease and proposes values with citations; a named person in your organization approves each one, and the approval is recorded with their name and the time.

  1. 01

    Proposed

Extraction reads the document and suggests a value with its page and excerpt.

  2. 02

    Reviewed

A person opens the cited page and compares it against the proposal.

  3. 03

    Verified

An owner or manager approves it. Their name and timestamp attach to the fact.

  4. 04

    Superseded

A later document can replace it — the earlier reading stays readable forever.

Guests — property managers, counsel, brokers, accountants — can be scoped to a single property and revoked at any time. Approval authority stays with the owner organization.

How your documents get to us — and what happens to them

  1. 1. No attachments by email. Submit this form and we reply with a private upload link into a workspace created for you.
  2. 2. Encrypted upload. Files travel over TLS and are stored in a private bucket scoped to your organization alone.
  3. 3. Processing, then a person. Documents are processed to propose facts with page citations, then verified by a person. They are not used to train models.
  4. 4. You own the outcome. Export everything at any time. If you do not continue, say the word and we delete the documents and the workspace.

Access control

Per-organization isolation enforced at the database level, role-based permissions, property-scoped guest access you can revoke, and optional two-step verification with an authenticator app. The security page lists what is and is not in place.

Retention

Your data is kept while the account is active. After closure it is deleted on the published schedule — the same wording appears in the terms and privacy notice.

Export and deletion

Export the register, the citations, and the history at any time. Ask for deletion and we confirm when it is done.
